Summary
This documentation outlines standard procedures to fix broken tables pdf to excel using native spreadsheet functionalities. It covers data splitting, cell unmerging, column realignment, and text-to-number conversion to restore structural integrity.

PDFs store text by visual position, not as real rows and columns. When you convert a PDF, the software must guess the table grid from where the text appears. Even small differences in spacing, merged cells, or multi-page layouts can cause the table structure to break.
Broken or Misaligned Tables in Excel
The most common symptoms are:
- All data appears in one column.
- Merged cells break apart, leaving blanks.
- Columns are misaligned or shifted.
- Multi-page PDFs produce repeated header rows.
- Numbers or dates are stored as text.
All fixes in this article use standard Excel on Windows—no add-ins required.

Scanned PDFs require OCR before you can use these Excel fixes. If your PDF is scanned or saved as images, Excel cannot detect the table structure until you extract the text using optical character recognition (OCR). For best results with scanned documents, use Renee PDF Aide as your initial solution. Its advanced OCR features accurately extract text and reconstruct table layouts before you even open Excel, helping prevent broken tables from the start.

Methods to fix broken or misaligned PDF tables in Excel

Repairing a damaged spreadsheet requires a careful approach to avoid losing data. Depending on your table’s issues, you may only need one or two methods. Always protect your original data before making changes.

Always work on a copy of your original file before moving or deleting cells.

Let’s walk through how to restore your data accurately and efficiently.

1. Split a single-column dump

Use this when your entire table appears in just one column.
- Go to Data > Text to Columns.
- Select Delimited if your values are separated by commas, tabs, or spaces.
- Select Fixed width if the values are neatly aligned in columns.
- Check the preview, then click Finish.
Data > Text to Columns in Excel
If neighboring cells already have data, insert empty columns first so Excel doesn’t overwrite them.

2. Unmerge cells and fill blanks

Use this when merged cells are lost, leaving blank areas.
- Select the affected range.
- Click Home > Merge & Center to unmerge the cells.
merge & center excel
- Keep the range selected.
- Go to Home > Find & Select > Go To Special > Blanks.
go to special, blanks
- Type =, press the Up arrow, then press Ctrl + Enter.
This fills each blank with the value from above. Afterwards, copy and paste the range as values if you want to remove formulas.

3. Realign shifted columns

Use this when values are in the right rows but the wrong columns.
- Find the first misaligned row.
- Right-click the cell that needs to move.
- Click Insert > Shift cells right to push the value toward the correct column.
Shift cells right in excel
- Use Delete > Shift cells left to pull the row back into place.
- Adjust block by block to avoid losing data.
Avoid deleting entire rows unless you’re sure they’re redundant.

4. Remove repeated multi-page headers

Use this if the same header row appears multiple times within your table.
- Select your data range.
- Go to Data > Filter.
- Filter the first column for the repeated header text.
Data > Filter Filter the first column for the repeated in Excel
- Select the visible header rows.
- Right-click and choose Delete Row.
- Clear the filter.
After clearing the filter, check that the table continues smoothly without gaps.

5. Convert text to numbers and dates

Use this if numbers or dates look correct but don’t sort, sum, or calculate properly because they’re stored as text.
- Select the column containing text numbers.
- Go to Data > Text to Columns (mentioned in method 1 above) and click Finish to convert to numbers.
- For dates, go to Data > Text to Columns > Next > Next > Date and choose the correct date format.
excel choose date format

If date formats are inconsistent, use the DATEVALUE() function to create real Excel dates.

Check a few values after converting. If day and month are reversed, repeat the process with the correct date order.

FAQ

Why did my whole table paste into one column?

The converter couldn’t detect column boundaries, so all text ended up in a single column. Use Data > Text to Columns with the appropriate delimiter or fixed-width option to restore columns.

How can I fix a scanned PDF table that pastes incorrectly?

A scanned PDF is just an image, so Excel can’t separate rows and columns directly. Run OCR first to create a text-based PDF or Excel file, then follow the Excel cleanup steps in this article.
