III. How to manually backup Outlook data files?

In addition to automatically backing up Outlook files, you can also use Outlook’s manual backup feature to back up data. Manual backup has the following advantages and disadvantages, you can operate according to your needs after understanding.
advantage: Manually exporting .pst files for backup is a fast and safe way of Outlook mail backup that can be done easily even by inexperienced users. Additionally, it allows you to do selective backups, i.e. export only relevant data and ignore unimportant folders like trash or deleted items.
shortcoming: The exported pst file is not a complete Outlook backup (although the default name of the exported file is backup.pst). This method backs up important items such as mail, contacts, appointments, tasks, and notes. Even if you select all folders and subfolders, some Outlook data will be lost during the export process, such as the following data will not be saved while exporting: message rules, signatures, custom forms, custom views and folder properties.
Before manually backing up Outlook files, you need to reserve a large storage space in advance to store the backup data. The specific operation steps are as follows:
Step 1: Open Outlook, and you can find the “Export” option according to the export path of different versions of Outlook below.
Different Outlook export paths:
Outlook 2016: File > Open and Export > Import/Export
Outlook 2010: File > Options > Advanced > Export
Outlook 2007: File > Import/Export
Step 2: In the pop-up “Import and Export Wizard” dialog box, select (Export to a file), and then click (Next).
Step 3: Next, select the type of file to create, select the (Outlook Data File (.pst)) option, and then click (Next).
Step 4: Next, you can select the folder to be exported, which can be the file of the entire mailbox, or a separate folder, and click (Next) after the operation is completed.
Step 5: After that, select the location where the exported Outlook data file is stored, and click (Next) after the selection is complete.
Step 6: Set the password for creating the Outlook data file to ensure the security of the exported data file, and then click the (OK) button.
Step 7: After the export is complete, the Outlook data file is displayed as: backup.pst. When necessary, you can use Outlook’s “Import” function to import the backup data into it again.
